Tips from the Party Pro!
Organizing a party can be complex without the right tools.
Here are some tips and tricks for organizing your Neighborhood Party:
1. Officially register your party on the city’s website by filling out the form. This first step will enable you to establish a link with a representative of the Direction du loisir, de la culture et de la vie communautaire (DLCVC). This way, we can answer your questions and help you organize your party (street closure authorization, table delivery, promotional and festive material, advice, etc.), while handing over the agreement for you to sign. We’re here to help.
2. Talk to your neighbors and find a suitable location. Plan your party in collaboration with your neighbors.
3. Divide up the tasks, share your ideas, discuss them. This joint preparation is already a bit of a party!
4. Obtain promotional material. Once the agreement has been signed and approved by the city representative, you’ll be able to pick up your organizer’s kit (including festive promotional items and printed promotional material), starting May 7, 2025.
5. Visit theESPACE MUNI website. As this organization is responsible for the national promotional campaign, you’ll find printable promotional tools, tips, event facts and more.
6. Print posters and invitation cards for distribution in your neighborhood or by e-mail.
7. Officially invite your neighbors.
8. Distribute invitation cards to your neighbors before the event. You can deliver them in a variety of ways: through mailboxes, by e-mail, through a Facebook group, and so on.
9. Encourage participation.
10. To ensure that as many people as possible can take part, work together to solve the problems faced by certain people in your neighborhood (childcare, disability, isolation, etc.). Be inclusive by adapting your party to everyone. Here are a few examples of inclusion measures:
- Write invitations in large print to ensure participation by people with low vision;
- Plan a children’s section with games and fun under the watchful eye of a volunteer;
- Make sure the site is accessible if neighbors have reduced mobility;
- Ensure that proposed activities are appropriate for various age groups (children, seniors, etc.).
1. Decorate the chosen area to make it visible and welcoming. Think of items that can be reused (e.g. garlands, colored fabric tablecloths, etc.).
2. Introduce yourself to neighbors who are joining the party. If you’re expecting a large number of people, you may want to bring along some helpers.
3. Hand out name tags to help identify people.
4. Cognez aux maisons, to remind latecomers or people who have forgotten. Please respect the decisions of those who do not wish to take part in the event.
5. Talk to all the neighbors present, thanking them for their participation. Make sure no one is in the way.
6. Organize activities to encourage exchange and discovery of others:
- A showcase of talent.
- Sharing cultural delicacies
- Learning a folk dance
- A mini yoga session.
7. Respect the peace and quiet of those who are not participating. Maintain an acceptable noise level when playing music.8. Think about the environment. Have bins for recycling, composting and waste, as well as a place to dispose of returnable cans.
9. Make sure the party ends before 10 p.m., including pick-up. Don’t leave anything lying around after the event. You can also store reusable decorations in a marked box, so you won’t have to look for them next year.
10. Replace City equipment in the right places. If you have requested delivery of tables or crowd barriers, please return them to the place where they were delivered.
1. Distribute thank-you notes in letterboxes, post a positive review on the Facebook group or simply keep in touch with your neighbors.
2. Schedule time with members of the organizing committee. This time is invaluable, for thanking people for their volunteer time, taking stock as a group of successes and suggestions for the next edition, and so on.
3. Take the satisfaction survey sent by the City. Your feedback is invaluable in enhancing your experience as an organizer.
